How to Edit WordPress Email Template
So what’s this plugin I’ve been bragging about?
It’s WP HTML Mail.
WP HTML Mail is a free WordPress email template builder.
With WP HTML Mail, you can add a beautiful email template on your WordPress site.
And you don’t need to have any coding knowledge.
The WP HTML MAIL integrates with other popular WordPress plugins such as:
- Easy Digital Download,
- Contact Form 7
- Ninja Forms,
- Birth Emails,
- WPForms and WPForms Lite
- Caldera Forms,
- WP E-Commerce and more.
Also, you can switch between the plain or the HTML template for specific plugins with ease.
So how do you setup WP HTML Mail?
Step #1: Install and Activate WP HTML Mail
Log into your WordPress Admin.
Go to Plugins »Add New and search for WP HTML Mail. Click install now and activate the plugin.
Once you’ve found it, click install now and activate the plugin.
Step #2: Customize Your Email Template
To customize your email template, head over to Setting » Email Template.
WP HTML Mail plugin has its email designer tool. You can use the tool to edit the original WordPress email template and design a beautiful one.
And you can see all the changes with a live preview.
The email designer has different sections.
#1. General tab
The first section is the general tab. Here you can change the background colour of the entire email template, enter your site’s name and the email address you want to use for outgoing messages.
#2. Header tab
Next is the header tab.
Under the header tab, you can customize the appearance of the email template header.
The options you have to include:
- Changing the background colour,
- Upload your logo.
You can also alter the padding of your logo (the distance between the logo itself and the border of the header) and its position using the bottom and the left positioning function.
If you don’t have a logo or you don’t want to use one, you can use a plain text and specify the font-family, font-size, its colour and its positioning (whether left, right or justified).
#3. Content tab
Next is the content tab.
Under the content tab, you can change the background colour of the content.
You can also change the headline, sub-headline and content font (you have the option to modify the font-family, font-size, colour and font-style).
Lastly, you can alter the colour and font-style on the link in the content.
Let’s proceed to the footer tab.
#4 Footer Tab
In the footer tab, you’ve two options:
- To change the background colour of the email template footer and,
- Add your text.
Option 2 gives you the leeway to add your personal or business address where subscribers can reach you.
These are legal email requirements that will help you or your business comply with the CAN-SPAM Act (Controlling the Assault of Non-Solicited Pornography And Marketing Act of 2003).
You can also add the unsubscribe button – a way for your users to unsubscribe from your email list.
It can either be by sending a reply email or by clicking no more than one level deep to reach the unsubscribe page.
But the method is up to you.
The law requires that process of unsubscribing to be easy and information to be readily accessible.
#5 Plugins Tab
Under this tab, you can integrate popular plugins such as Contact Form 7, Ninja Form, WooCommerce and more to send emails via the template created using WP HTML Mail.
My Favourite Feature
Now we’ve covered the basics on how to design wp html mail template using WP HTML MAIL plugin.
But it doesn’t stop there…
WP HTML Mail is one monster plugin for designing email template on your WordPress site.
After customizing your email template on the WordPress admin, you can also export it to an HTML file.
This gives you a leeway to customize your HTML further. You can then upload the file via FTP to wp-content/YOUR-THEME/wp-html-mail/template.html.
After experimenting with the plugin, this is what I created for the WPServant Blog.
Isn’t it stunning? Doesn’t it look professional?
You can also test your email template in real-time using the Send a test email feature to see if it works.
Install this Plugin to Ensure Delivery of Your WordPress Emails.
Sometimes you might discover that your WordPress site is not sending out emails.
And there could be two reasons for this:
- Either your WordPress hosting server is not properly setup to use the PHP mail() function.
- Or the email sent out by your WordPress site is filtered as spam.
The email service providers use their robust tools to filter out an email as spam if the email is not originating from a location where it claims to be from.
If you find yourself in this situation, using SMTP to send emails from your WordPress would be the best choice.
SMTP (Simple Mail Transfer Protocol) is the internet standard for sending emails. Unlike PHP mail function, SMTP uses proper authentication to deliver emails, resulting in increase email deliverability.
So how do you setup SMTP on your WordPress site?
Enter Postman SMTP Mailer/ Email Log.
Developed and supported by Jason Hendricks, Postman SMTP Mailer is a free WordPress plugin that helps with delivering emails generated by your WordPress site via SMTP (Simple Mail Transfer Protocol).
The plugin has been installed and activated over 100 000 times.
It also has 438 out of 456 five-star ratings.
And here what sets Postman SMTP apart:
The plugin has a connectivity test and quick setup wizard that scan your SMTP server to detect firewall blocks and eliminate configuration mistakes.
To get started with the setup wizard, go to Settings »Postman SMTP.
Then click the Start the Wizard button.
Next, you must enter the sender details.
Enter the email address and name where you would like to send the notification from your WordPress site as.
And click Next.
Next, enter the Outgoing (SMTP) Mail Server hostname or Mail Submission Agent — a server the plugin will delegate email delivery to.
In most cases, the hostname looks something like smtp.yourdomain.com.
If you’re not sure what’s your outgoing mail server hostname is, ask your hosting provider.
After you’ve entered your hostname, click next to move to the connectivity test.
In the next step, you have to choose the socket your site will use to connect to the email server.
Postman SMTP will pick up any errors it identified after you chose your socket.
The final step is for authenticating to the outgoing mail server you chose above.
Here you will enter the credentials (username and password) of the email address you’ll be using to send out emails.
And click next.
Yay! Now we’re done.
Click finish to send yourself a test email, just to make sure everything is working.
Now you can test your setting by sending out a test email to a particular email address.
If you’ve configured everything correctly, you should get a positive response that your email was sent out successfully.
Postman SMTP plugin comes with another great feature, a built-in Email Log.
The Email Log is a great tool you can use to diagnose problems with sending out emails on your WordPress site. It’s a place where you can identify which emails have been sent out and which were not.
Now we’ve reached the end.
